Learning Agreement for Hotel Work Placements: A Guide for BTec and HND Tourism Students

Jan 17, 2026 | Application

For students undertaking hotel work placements abroad through the Turing Scheme or Erasmus+, the Learning Agreement (also referred to as a Placement Agreement or Training Agreement) is the foundational document that defines the objectives, activities and expected outcomes of the placement. For BTec, HND and T-Level Tourism and Hospitality students, getting this document right is essential for both funding compliance and academic recognition.

What is a Learning Agreement for hotel work placements?

A Learning Agreement is a three-way contract signed by the student, the sending institution (the college or school) and the host employer (the hotel). It sets out:

  • The duration and location of the placement
  • The tasks and responsibilities the student will undertake
  • The learning outcomes linked to the student's programme of study
  • The supervision and assessment arrangements
  • How the placement will be formally recognised within the student's qualification

For Erasmus+ placements, the Learning Agreement follows the standard EU template. For Turing Scheme placements, the document may be called a Placement Agreement or Training Plan, but it serves the same purpose and must meet similar quality criteria.

Aligning the Learning Agreement with BTec and HND Tourism outcomes

One of the most important — and often overlooked — aspects of the Learning Agreement is the direct mapping of hotel placement tasks to the learning outcomes of the student's programme. For BTec Level 3 Tourism or HND Hospitality Management students, the agreed work plan should reference relevant units such as:

  • Customer Service in the Hospitality Industry
  • Front Office Operations
  • Food and Beverage Service
  • Accommodation Operations
  • Professional Development in the Hospitality Industry

A well-constructed Learning Agreement ensures that assessors and external verifiers can clearly see how the international placement contributes to the student's overall qualification.

Sample work plan for a hotel Front Office placement

For a BTec or HND Tourism student placed in the Front Office department of a European hotel, a typical Learning Agreement work plan might include:

  • Managing guest check-in and check-out procedures using the hotel PMS
  • Handling reservations via telephone, email and OTA channels
  • Responding to guest enquiries and resolving complaints professionally
  • Producing daily occupancy and revenue reports
  • Coordinating with Housekeeping and Food & Beverage departments
  • Supporting the duty manager during busy operational periods

Amendments to the Learning Agreement during placement

If circumstances change during the placement — for example, a student is moved to a different department, or the placement is extended — the Learning Agreement must be formally amended and re-signed by all three parties. This Changes to the Learning Agreement document must be retained for compliance purposes under both the Turing Scheme and Erasmus+.

Common mistakes in Learning Agreements for hospitality placements

Placement coordinators frequently encounter the following issues when reviewing Learning Agreements:

  • Objectives described in vague terms that cannot be meaningfully assessed
  • No clear link between hotel tasks and programme learning outcomes
  • Missing or incorrectly identified supervisor details at the host employer
  • Failure to specify weekly working hours or department allocation
  • Learning objectives that do not reflect the actual work being done

PIC Management reviews all Learning Agreements before signature to ensure they meet both the formal requirements of the funding scheme and the genuine learning needs of the student.
